Terms of Service

Updated: 7/7/2024

Blue-Paw Entertainment, LLC. is dedicated to delivering top-notch service and outstanding value to all clients. To uphold this commitment, we have set forth the following terms of service that are applicable to all events and services offered by our company. Safety is paramount for Blue-Paw Entertainment, and we retain the authority to adjust or discontinue activities that may pose a risk to equipment, venue integrity, or the well-being of guests and personnel. We reserve the right to modify these terms at any time, for any reason.

Safety

  • The minimum setup area required for Blue-Paw Entertainment equipment is 10 feet wide by 10 feet deep, away from any hazards. Larger events require additional space, to be agreed upon during the planning stages with the client and Blue-Paw Entertainment.
  • The client must ensure that the location is appropriate and secure for the equipment, staff, and guests. This involves safeguarding against risks such as inclement weather, fire, water damage, and other occupational hazards. Any equipment damage due to lack of reasonable protection by the client may be billed to the client for any replacement, repairs or loss of use.
  • Blue-Paw Entertainment needs access to ramps or elevators for a safe load-in and load-out at the venue. If equipment needs to be moved upstairs (more than 3 steps), there may be a labor fee of $15 per step to cover the cost of hiring extra help. Venues with challenging access may also incur additional delivery charges. The client is responsible for notifying Blue-Paw Entertainment ahead of the event if steps are the only method of load-in and no ground-level, elevator or ramp access is available.
  • Outdoor events must ensure adequate protection from the elements for electronic audio equipment by providing a tent or covering. Furthermore, power outlets within 50 feet of the setup location are required.
  • Outdoor ambient temperature shall not exceed 95 degrees Fahrenheit, in an effort to prevent equipment malfunction which may disrupt the event. Fans are required to be provided when such conditions are forecasted.
  • If a weather forecast calls for inclement weather at least 4 hours prior to the event or if conditions occur that result in an unsafe operation, Blue-Paw Entertainment reserves the right to terminate or postpone the performance or relocate indoors (within reason) and with coordination and mutual agreement of the client.
  • Minimum power specifications: The venue is responsible for supplying a minimum of one 15-amp dedicated circuit for smaller setups. Larger setups may necessitate extra power sources and circuits. GFCI outlets must be operational and capable of handling the variable voltage draw of a sound system. To prevent unplanned power interruptions, it is advised to have at least two available circuits if GFCI outlets are present in the vicinity.

Payments

  • Payments are due based on contract terms.
    • No event with a deposit required will be booked until the deposit has been received, and the performance agreement has been signed online.
  • Final event payment is due no later than the day-of the event. This can be paid using cash, check, money order, or electronic payment such as Venmo, CashApp or PayPal.
  • Returned checks will incur a $50 returned check fee.

Programming and Timelines

  • Timelines and programming requirements shall be communicated to Blue-Paw Entertainment at least 7 days prior to the event. After this point, small changes are allowed on a case-by-case basis only.
  • Event Start times and end times may vary depending on the event. However, we aim to start and end on time or within reason.
  • Some venues have rules about the type of programming, volume level, and setup and teardown requirements for vendors. This shall be communicated by the client prior to setup to Blue-Paw Entertainment so the appropriate preparations can be made.

    Playlists

    • Playlists are required to be submitted no later than five (5) days prior to the event and may be provided through the following channels:
      • Planning Portal (TulsaDJ.xyz)
      • Spotify
      • Apple Music
      • MP3 or MP4 files submitted in advance to the DJ.
    • If a specific track requires custom editing to be done by Blue-Paw Entertainment, a small fee may apply.
    • YouTube Music is an unreliable source of quality audio and is not recommended for use.
    • The client may include a list of music they do not wish to be played, known as the “Do Not Play” list.
    • Blue-Paw Entertainment will make every reasonable effort to accommodate requests, when possible, within reason. If Blue-Paw Entertainment is unable to accommodate a request, we will not be liable.

      Cancellation Policy

      • Performance agreements cannot be cancelled except upon mutual agreement between Blue-Paw Entertainment LLC and the client.
      • If an event is cancelled and cannot be rescheduled, the following entitlement to Blue-Paw Entertainment is as-follows:

If event is cancelled from contract date up to 46 days BEFORE the event date

Deposit forfeited and any unrecoverable costs such as supplies will be invoiced.

If event is cancelled from contract date up to 31-45 days BEFORE the event date

50% of the total contract value is due and will be invoiced.

If event is cancelled from contract date up to 30 days BEFORE the event date

100% of the total contract value is due and will be invoiced.
